The SPIC MACAY Volunteer System

5,000+ volunteers powering classical arts across India.

Every volunteer gets a unique VID, belongs to a geographic chapter, and can join multiple team instances. The system tracks profiles, team memberships, office bearers, and promotion from community member to active volunteer.

Data Model

Team → Instance → Member

The volunteer system uses a three-level hierarchy. Permanent teams spawn term-scoped instances, and members are assigned to instances — not teams directly.

VolunteerTeam

Permanent team definition (e.g., 'Delhi State Committee'). Has type, chapter, and description.

VolunteerTeamInstance

Term-scoped instance (e.g., '2025-26'). Links to a team and a term period. Has its own member list.

VolunteerTeamMember

Person assigned to a specific instance. Has role, isOfficeBearer, weight, and displayMessage.

VolunteerTeamGroup

Hierarchical grouping of teams. Self-referencing tree with unique(slug, parentId) constraint.

Organization

Three types of volunteer teams

Volunteer teams are organized into three categories, each serving a different scope within the SPIC MACAY structure.

State Committees

Chapter-scoped teams managing volunteer operations within a geographic state or region.

National Committees

Organization-wide teams handling cross-chapter functions like training, communications, and coordination.

Vertical Committees

Functional teams cutting across chapters — finance, technology, artist relations, event operations.

Office Bearers

Within each team, designated office bearers appear prominently and carry leadership responsibilities.

Lifecycle

From Community Member to Volunteer

Community members can be promoted to full volunteers through a defined workflow. The promotion preserves the Person record and auto-assigns a new VID.

Step 1: Identify

Find an existing CommunityMember in the directory by name or email.

Step 2: Promote

Click 'Promote to Volunteer'. System changes person.type from communityMember to volunteer.

Step 3: VID Assigned

A unique Volunteer ID is auto-assigned. Same Person ID is preserved — no duplicate records.

Step 4: Active

Volunteer appears in directory, can be added to team instances, and gains volunteer-specific permissions.
